How to use this purchase order generator

Three steps and you're done:

  1. Fill in your company once. Your buyer info is saved to your browser, so next time the form is pre-filled.
  2. Add the vendor. Click "Save current vendor" to add to your local vendor library. Next time, pick from the dropdown.
  3. Add line items. SKU, description, quantity, unit, unit price. Amount and grand total compute automatically.

Click Download PDF. The PO is generated in your browser and saved to your Downloads folder. Email it to your vendor.

What goes on a purchase order - quick reference

Every PO should have:

  • PO number - your internal reference. The generator suggests a sequential format (PO-2026-0001).
  • Date issued and expected delivery date.
  • Buyer information - your company name, address, and the contact responsible for this order.
  • Vendor information - name, address, and primary contact.
  • Line items - what you're ordering. SKU/part number, description, quantity, unit (each, lbs, ft, etc.), unit price.
  • Tax and shipping if applicable.
  • Payment terms - Net 30 is the manufacturing default.
  • Special instructions - quality spec references, delivery windows, packaging requirements.

Is this purchase order generator free?

Yes. No signup, no email wall, no usage limit. Generate as many POs as you need.

Where does my data go?

Form values stay in your browser. The PDF is built locally and downloaded to your computer. Your buyer info, vendor library, and recent POs save to your browser's localStorage - never to a server. The one caveat: anonymous page analytics (which page you viewed, not what you typed) fire if you accept the cookie banner, and not otherwise.

Can I save my vendors so I don't retype them?

Yes. After typing a vendor, click "Save current vendor" - it's added to your local library. Next time, pick from the dropdown at the top of the Vendor section.

How is the PO number generated?

The generator suggests a sequential number per year (e.g. PO-2026-0001, PO-2026-0002, etc.) saved per-browser. You can edit it to whatever scheme your company uses.

What if I need different payment terms than Net 30?

The dropdown includes Net 15 / 30 / 45 / 60, Due on receipt, 2/10 Net 30, and COD. If you need something else, type it in the Notes & terms field at the bottom.

What's the point of issuing POs at all?

A PO is your written commitment to a vendor at agreed terms. When the goods arrive, you compare the receipt against the PO. When the invoice arrives, the three-way match (PO + receipt + invoice) protects you from being overcharged or paying for goods you didn't get. It's the cheapest fraud protection in manufacturing.

What if I want my logo on the PDF?

The current version uses a standard SimpleGrid-styled PDF layout. Logo upload isn't supported in this free tool - when you outgrow it, SimpleGrid renders fully-branded PDFs from your live data.
